Programme participation data Information you share during the programme, including responses to reflection prompts, journalling exercises submitted through our platforms, and any information you share in group sessions or the community group.

Communications data Any correspondence you send to us by email, through our website, or via our community platforms (including Simplero).

Technical data IP address, browser type and version, time zone, browser plug-in types, operating system, and other technology used to access our website.

Usage data Information about how you use our website and access our online content.

Marketing preferences Your preferences regarding receiving marketing communications from us.

Sensitive personal data

The nature of The Five Shifts Programme means that you may, in the course of participation, share information that touches on your relationships, or personal history. We treat this information with the utmost care and discretion. We will only use this information to deliver the Programme and support your participation in it. We will never share it with third parties except where required by law or where there is a serious and immediate risk of harm to you or others.

  • Purchase the Programme or a payment plan

  • Correspond with us by email or other means

  • Participate in Programme sessions, community groups, or other activities

  • Complete surveys, feedback forms, or reflection exercises submitted to us

  • Subscribe to our email list or marketing communications

Automatically, when you:

  • Visit our website (via cookies and similar technologies — see Section 9)

From third parties, including:

  • Stripe, our payment processor, who may share transaction-related data with us

  • Our email marketing platform Simplero, in relation to your email preferences and engagement

  • Zoom, in relation to attendance and participation in live sessions

 

4. Why We Use Your Personal Data (Legal Basis)

Under UK GDPR, we must have a lawful basis for processing your personal data. We rely on the following:

Performance of a contract To deliver the Programme you have purchased, manage your account, process payments, and administer payment plans. This is our primary lawful basis for most of the data we process.

Legal obligation To comply with our legal and regulatory obligations, including financial record-keeping and responding to lawful requests from authorities.

Legitimate interests To improve our services, manage our business operations, send you relevant information about future programmes or offerings (where you have not opted out), and protect our legal rights. We will not use this basis where your interests or rights override ours.

Consent To send you marketing emails about our programmes, events, and resources. You may withdraw your consent at any time by clicking "unsubscribe" in any of our emails or by contacting us directly.

 

5. How We Use Your Personal Data

  • To send you programme-related communications, including Zoom links, session reminders, and resources

  • To manage payment plans and recover outstanding payments where necessary

6. Who We Share Your Data With

We do not sell your personal data. We will never share it with third parties for their own marketing purposes.

We share your data only with the following categories of trusted third parties, and only to the extent necessary:

Simplero: our email marketing provider, used to send programme communications and, where you have consented, marketing emails. Simplero stores your name and email address on servers which may be located outside the UK — see Section 8 for more detail.

Zoom: used to deliver all live programme sessions and Men's Circle events. Zoom may process data about your participation in sessions. For more information, see Zoom's Privacy Policy at zoom.us/privacy.

Professional advisers: including solicitors, accountants, and insurers, where necessary for the operation of our business.

Regulators and authorities: where we are required to do so by law, court order, or regulatory requirement.

We require all third parties to respect the security of your personal data and to treat it in accordance with applicable law.

 

7. How Long We Keep Your Data

We retain your personal data only for as long as necessary for the purposes for which it was collected, taking into account our legal and regulatory obligations.
